Privacy Policy

qsift ("qsift", "we", "us") is a recruiting copilot for hiring managers. This policy explains what information we collect, how we use it, and the choices you have. It applies to the qsift web application at qsift.app and any related services.

Information we collect

• Account information - the email address you use to sign in, and your display name.
• Hiring data you add - positions, candidates, applications, interview notes, scores, CVs and other files you upload, and emails you log through qsift.
• Usage data - basic technical logs (such as request timestamps and error events) needed to operate and secure the service.

We do not use third-party advertising or cross-site tracking cookies. We use only the cookies and local storage strictly necessary to keep you signed in and remember your preferences.

How we use information

• To provide the service - storing your hiring data and showing it back to you.
• To run AI features you trigger, such as feedback extraction, document parsing, and cross-stage conflict detection.
• To authenticate you via magic-link sign-in and keep your account secure.
• To diagnose problems and improve reliability.

We do not sell your data, and we do not use your hiring data to train machine-learning models.

AI processing

When you use an AI feature, the relevant content - for example the interview note you typed, a CV you uploaded, or the role context - is sent to our AI provider, Anthropic, to generate the result. This processing happens on demand, only when you invoke the feature. Anthropic processes the data as our service provider and does not use it to train its models. We do not send your data to any AI provider for any purpose other than producing the output you requested.

Where your data is stored

Your data is hosted in a managed PostgreSQL database and object storage operated on our behalf by Supabase. Files such as CVs are stored privately and served only through short-lived signed links. Data may be processed in the regions where these providers operate.

Our processors include:

• Supabase - database, authentication, and file storage.
• Anthropic - AI model processing for the features described above.
• Cloudflare - hosting, content delivery, and network security.

Data retention

We keep your data for as long as your account is active. When you delete a record, it is removed from the application; when you ask us to close your account, we delete your associated data within a reasonable period, except where we must retain limited information to meet a legal obligation.

Your rights

You can access, correct, export, or delete your data at any time from within the app, or by contacting us. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA, including the right to object to or restrict certain processing. We honor these requests.

Candidate data

Much of the data in qsift describes job candidates. As the person entering that data, you are responsible for having a lawful basis to collect and process it, and for honoring candidates' rights. qsift acts as a processor of candidate data on your behalf and only processes it to provide the service to you.

Security

We use industry-standard measures including encryption in transit, scoped access controls, and signed URLs for file access. No system is perfectly secure, but we work to protect your data and to respond promptly to any incident.

Children

qsift is a business tool not directed to children and is not intended for anyone under 16.

Changes

We may update this policy as the product evolves. When we make material changes, we will update the date above and, where appropriate, notify you in the app.
